Modern Slavery and Human Trafficking Policy Statement for Financial Year Ending December 2024

Introduction

As part of the UK’s Modern Slavery Act 2015, all companies with a turnover more than £36 million are required to publish a statement about their commitment to ensure there is no modern slavery in their business or supply chains.

Prophix has succeeded as a business for more than 35 years by respecting the values and recognizing the rich perspectives of our employees, customers, and partners. As such, Prophix is committed to playing our role in eradicating modern slavery and human trafficking in all forms. We have taken steps to ensure that our business and supply chain is free from modern slavery and human trafficking. These efforts include actions to ensure that everyone who works for Prophix does so in an environment in which human rights are respected and anyone that we do business with also upholds these principles.

Employees at Prophix – “Phixers”

There are currently more than 500 people employed by Prophix worldwide, all of whom are subject to pre-employment checks to ensure their right to work and to confirm their identity. All employees are provided with information about their statutory rights and paid above the applicable minimum wage. We require our recruitment agencies to comply with all applicable legal requirements.

Our company culture is based on valuing new ideas, reframing the usual, and sharing in each other’s success. These values have helped create a community of colleagues, the Phixers, who are excited about the work they do and enthusiastic about the people they work with. In line with our open culture, we provide guidance on how people can raise concerns and access available channels of support whenever it may be necessary.

To thrive as a company, we need every employee to bring their full self to work. We have a responsibility to each of our current and prospective colleagues and to ourselves to ensure that Prophix builds and maintain a diverse company. Our standing DEI committee regularly measures how diversity and inclusion are being integrated into our day-to-day culture.

Our Approach

Driven by Prophix employees, our approach to Social Responsibility started as a grassroots movement to now supporting worthy causes around the globe. It’s not just what we do, it’s who we are. Our late CEO, Paul Barber, championed the Prophix spirit of giving by organizing a large yearly donation of toys and turkeys to the Salvation Army. This tradition has continued more than 30 years later with support from the Prophix CSR committee.

Phixers receive dedicated, paid time-off to volunteer for causes they care most about. Prophix also offers charitable donation matching, holds regular company-wide fundraising events, and for each quarter we meet our revenue goals, we donate $50,000 to a charity chosen by all Prophix employees.

Our Supply Chain

As a software provider, Prophix has a lower risk of modern slavery occurring in its supply chain compared to businesses in other sectors. Nevertheless, we are committed to preventing modern slavery and human trafficking from occurring within our supply chains and any part of our global business. Prophix recognizes the importance of ethical and sustainable sourcing, and maintains policies that set out clear steps to achieve this goal.

What We’ve Done in 2023/Will Do in the Next 18 Months

The steps we have taken and will take include:

Supplier Due Diligence: Prophix is formulating an updated supplier due diligence process for on-boarding suppliers based in higher-risk territories and industries, and we are considering a risk-based questionnaire based on the UN Global Compact’s Ten Principles in the areas of human rights, labour, sustainability, and anti-corruption. Prophix explicitly seeks to do business with suppliers mirror our values in relation to those topics.

Staff Training: All relevant Prophix staff in the UK will be briefed on the provisions of the Act and our obligations and compliance measures, and we will continue both annual updates and more specialized training for our procurement team as we develop our measures.

In 2024, we will continue to build on our initiatives to ensure that employees are equipped with the knowledge and understanding to recognize and combat modern slavery. This reflects the ongoing Prophix commitment to ethical and responsible business practices.

Approval and continuous review: Prophix will monitor and continue to improve the steps we take to combat slavery and human trafficking.
